1. Who we are and what this policy covers
Coverage Babe, LLC (“Coverage Babe,” “we,” “us,” or “our”) is a Florida limited liability company based in Palm Beach Gardens, Florida. We provide information and assistance relating to health insurance, employee benefits and related business services.
This policy describes personal information handled through our website, coveragebabe.com, and related inquiries, appointment scheduling and communications. It also covers information submitted by employers, prospective clients, and people interested in working or collaborating with us.
This website policy does not replace separate privacy notices or authorizations that may apply to insurance applications, enrollment, a health plan, an insurer, a benefits administrator or another service provider. If you proceed beyond an initial inquiry, additional information and notices may be necessary for the particular service.
2. Information you provide
Depending on the form or service you use, we collect information such as:
- Contact details: your name, email address, telephone number, location and preferred contact information.
- Company and benefits inquiry details: company or organization name, your role, approximate employee or workforce size, states where employees work, renewal timing, services of interest and the questions or comments you choose to send.
- Appointment information: the meeting you select, scheduling details and answers you provide when arranging a conversation.
- Professional and collaboration information: professional profile links, areas of experience, roles of interest, insurance-license status or licensed states, and the types of clients or services relevant to a collaboration inquiry.
- Communication and request records: messages, follow-up correspondence, contact preferences and records associated with your request.
An initial benefits-analysis request is a request for a conversation, not an insurance application or a request to upload employee records. Please provide information about another person only when you are authorized to do so.
3. Keep sensitive information out of general inquiries
Our general website forms and ordinary inquiry emails are not intended for medical records, diagnoses, treatment details, Social Security numbers, payment-card details, employee-level payroll files or other sensitive personal documents. Please do not include that information in message boxes or appointment notes.
If further information is needed to evaluate coverage or a benefits program, ask us for the appropriate process before sending it. A carrier, administrator or other provider may collect necessary application or enrollment information through a separate process with its own notices. This website policy is not a HIPAA Notice of Privacy Practices and does not represent that every interaction with us is covered by HIPAA.
4. Information collected through website technology
When you visit the website, our hosting and website systems may process technical information such as an IP address, browser and device information, access times, pages requested, referring pages and security or error logs. Depending on the page and tools enabled, cookies, pixels and similar technologies may also collect identifiers and information about visits or interactions.
The website uses WordPress and Fluent Forms for website content and inquiry forms, and SiteGround for hosting-related services. Form submissions can be stored in our website’s administrative records and sent to our business email for follow-up. The page or form from which an inquiry originated may also be recorded.
Our website includes Google analytics-related tools and uses PixelYourSite to manage measurement integrations, including a Meta/Facebook pixel. Where enabled, analytics or advertising providers may receive browser/device information, identifiers, page addresses, referral information and interaction data. These technologies can operate without a form submission; submitting a form is not the sole way website usage information may be collected. Availability and behavior can differ by page, browser settings and configuration.
We use measurement information to understand website traffic and assess marketing activity. Google and Meta may also handle information under their own policies. Advertising-related disclosures can have specific legal definitions, including “sale,” “sharing” or “targeted advertising,” under applicable laws; they are not limited to exchanging a contact list for money.
5. How we use information
We use information relevant to your interaction to:
- Respond to questions and requests for an insurance or benefits discussion.
- Arrange appointments and communicate about your requested analysis or service.
- Understand business needs and coordinate next steps with appropriate team members or service providers.
- Review employment-interest, broker, referral and other professional collaboration inquiries.
- Maintain inquiry and relationship records and manage contact preferences.
- Operate, troubleshoot and protect the website; detect spam or misuse; and evaluate website and marketing activity.
- Meet applicable obligations, maintain necessary business records and address disputes or lawful requests.
We use our own proprietary customer relationship management (CRM) system to organize lead and relationship information. We use Grok and Grok Bot, artificial intelligence (AI) tools, to assist with lead management and monitoring business email. Depending on the workflow, this processing may involve contact details, inquiry information and the contents of business correspondence. Where third-party services support these tools, information may be processed by those providers as part of the service. Please follow the sensitive-information guidance in Section 3 when contacting us.
We do not currently record calls. We plan to offer a newsletter in the future; subscription and unsubscribe information will be provided when that service becomes available. A newsletter is not represented here as an existing subscription service, and this policy itself does not subscribe you to one.
A request for contact about an analysis does not, by itself, authorize automated promotional texts or calls. This policy is not a text-message opt-in. Any separate marketing or messaging program must use the notices and permissions applicable to that program.
6. When information may be disclosed
We do not sell, rent or exchange leads. This statement concerns our lead-handling practices; it does not mean that no information is disclosed to service providers or through the website technologies described in this policy.
Information may be disclosed to the following categories of recipients as relevant to the purposes above:
- Our personnel and service providers supporting website hosting, form handling, business email, scheduling, security, recordkeeping and related operations.
- Insurance carriers, benefits or program administrators, and other service providers involved in a service you request, where the disclosure is appropriate and permitted. Additional notices or authorizations may apply before sensitive application information is shared.
- Analytics and advertising providers in connection with the technologies described above, where those tools are enabled.
- Professional advisers, public authorities or other parties when reasonably necessary to address applicable legal requirements, enforce rights, investigate misuse or protect people and systems.
- Parties to a proposed or completed business reorganization, acquisition or transfer, subject to applicable protections and obligations.
A third party’s own privacy notice may govern its separate handling of information. Contact us if you want to understand which providers are involved in your particular request.
7. Scheduling and third-party services
We use Google Calendar appointment scheduling to offer appointment booking. If you open or load a booking experience, your browser connects with Google; Google processes the information and technical data involved in that experience. Information about the appointment is also available to us for scheduling and follow-up. Please do not add medical or employee-level payroll information to booking notes.
Links to carrier websites, partner services, social-media platforms or other third-party websites take you to services with their own practices. Loading external content, including hosted fonts or embedded media where present, may also connect your browser to the relevant provider. Review the provider’s notice before supplying information there.
Provider resources: Google Privacy Policy and Google partner-site information; Meta Privacy Policy.
8. Your choices and requests
You can choose not to complete optional fields or not to submit a form. We may be unable to respond or arrange a service without the information needed for that request.
To correct contact details, change follow-up preferences, ask about information associated with you, or request deletion, email hello@coveragebabe.com with the subject “Privacy Request.” Please describe your request without sending sensitive identity documents. We may need to verify your identity and authority through an appropriate process before acting.
Depending on your residence, the information involved and the laws applicable to our activities, you may have rights to access, correct, delete or obtain a copy of personal information, or to opt out of certain uses or disclosures. Exceptions may apply, including recordkeeping or legal requirements. We will evaluate requests under the requirements that apply; this policy does not promise that every statutory right applies to every website visitor or every category of information.
You can also ask us to stop promotional follow-up by emailing hello@coveragebabe.com, or use an unsubscribe option where one is provided. A preference about promotional messages does not necessarily stop communications needed to address an active request or applicable obligations.
You can also use your browser’s cookie controls and the privacy or advertising settings offered by Google, Meta and other providers. Blocking cookies can affect website functionality and does not necessarily stop every type of data collection. Settings may need to be applied separately on different browsers or devices. Contact us with questions about tracking choices; this draft does not represent that a sitewide consent banner or automated browser opt-out signal handling has been implemented or verified.
9. Retention and security
Information can remain in website records, our proprietary CRM, business email, scheduling records, AI-service records where retained by the applicable service, operational logs and backups. Retention depends on the type of information, the reason it was collected, the status of the relationship or request, and applicable business, legal, insurance-recordkeeping or dispute-resolution needs. This policy does not establish a single deletion deadline for all records. Some records may need to be retained despite a deletion request.
No website, email system or method of electronic storage can be guaranteed completely secure. Please use care when deciding what to send and follow the sensitive-information guidance above. Contact us promptly if you believe information associated with your interaction with Coverage Babe has been misused.
10. Children and location of services
The website’s inquiry and business-contact features are intended for adults, not for children to submit information directly. A parent, guardian or authorized representative should use the appropriate enrollment process for any dependent coverage needs rather than submitting a child’s sensitive information through a general inquiry form. If you believe a child has submitted personal information here, contact us so we can review the situation.
Coverage Babe is based in the United States. Our service providers may process information in locations where they operate. Privacy protections and legal requirements can differ between locations.
11. Changes and contact
We may update this policy to reflect changes in our services, technology or practices. The published version will show its effective or last-updated date. Where additional notice or permission is required for a change, the applicable requirements will govern.
